Day-to-day:

​

Every Clutch Academy coach will carry with them the contact numbers for parents or designated childminder of every participant in the group. (Supplied by the parents on the forms they fill in.) A roll will be taken at the start of every session and parents will supply either a paper copy or electronically agree to the Clutch Academy Consent Form, found here.

Photographs and Videos:

​

Photographs and videos may be captured during Clutch Academy classes. Clutch Academy retains the exclusive right to utilize these images and videos for self-promotion on their website and/or social media platforms. Rest assured, these visual assets will never be sold or shared with third parties. By accepting the terms and conditions, you acknowledge the potential presence of your child in the foreground or background of such digital content. If you prefer to exclude your child's image from these purposes, kindly reach out to us directly.

Accidents:

​

Minor cuts, bruises or bumps will be assessed and/or treated on-site with an on-site First Aid kit, using medical gloves and with the least contact possible. The parent or childminder will be informed of the details on collection.

​

More serious injuries:

​

The designated person/coach will assess the injury on site. In the case of more serious injuries, the coach must protect themselves by wearing the surgical gloves, found in the First Aid Kit. In the case of a head injury, the child will not be moved.


Parents and/or childminders will be contacted immediately and take instruction for further action.

 
In the event of a parent and/or childminder being uncontactable, the coach will call the clutch academy dir
ector or the administrative officer who will take responsibility for further action.
An accident report will be written up and the report will be given in and registered with the Clutch Academy office.

Property:

​

In order to avoid damage to personal property, we advise not to bring or leave anything valuable to sessions. Clutch Academy cannot accept responsibility for loss or damage caused to personal property through the playing of sport or misplaced items.

​

*It is advised that glasses or jewellery are not worn during basketball as they may be damaged and cause minor injury if they come into contact with a ball.

Coaches:

​

Coaches should have, as their priority, the children’s safety and enjoyment of the sport they are participating in. Coaches must follow the code of conduct to ensure both the children's and their own safety.

​

Players:

​

  • I will respect my fellow players and my coaches.

  • I will make sure no player is left out or treated differently. 

  • I will always encourage my teammates and show them support, even when they make mistakes.

  • I will always show good sportsmanship before and after games, whether I win or lose.

  • I will not use inappropriate language or display inappropriate behaviour towards anyone.

Respect for Staff and Coaches

​

  • Mutual Respect: All interactions with our staff, coaches, and after-school workers should be conducted respectfully. Disrespectful language, aggressive behavior, or inappropriate conduct will not be tolerated.

  • Collaboration and Communication: We welcome feedback and are committed to resolving concerns promptly and professionally. Please communicate any issues directly and respectfully with our leadership team.

  • Refusal of Service: We reserve the right to deny service if a parent or guardian’s behavior is disruptive, disrespectful, or undermines the positive environment we strive to maintain.

Drop-Off and Pick-Up Procedures

  • Timely Arrival: Please adhere to the designated drop-off and pick-up times. Late pickups may incur additional fees.

  • Responsibility for Belongings: Ensure your child has all necessary items (e.g., jackets, school supplies) when arriving and departing. Staff members are not responsible for tracking or retrieving personal belongings.

Child Safety and Well-Being

  • Emergency Contacts: Ensure your contact information and emergency contacts are up to date.

  • Health and Wellness: Do not send your child if they are unwell or showing symptoms of illness. Communicate any medical concerns or allergies to staff in advance.

Participation and Attendance

  • Commitment to Activities: Encourage your child to participate fully in scheduled activities. This fosters their engagement and enjoyment while respecting the efforts of staff and peers.

  • Attendance Notification: Notify us promptly if your child will be absent or late.

Financial Responsibility

  • Timely Payments: All program fees must be paid on time. Unpaid balances may result in suspension or denial of service.

  • Refund Policy: Refer to our refund and cancellation policy for specific details regarding missed sessions or withdrawal from the program.

Consequences for Policy Violations

​

Failure to adhere to these policies may result in:

  • Verbal or written warnings.

  • Temporary suspension of service.

  • Permanent denial of service in severe or repeated cases.
